This Privacy Policy describes the personal information we collect from you, either from our web site www.mushroomcottage.co.uk (“the Site”), from our printed forms completed by you, from your e-mails submitted to us, or from telephone conversations between us, and how we use and secure it. “Personal Information” defines information such as name, address, ‘phone numbers and e-mail addresses that can identify an individual. Your personal information is provided strictly for the purpose of firstly being able to contact you to provide you with quotations and information for house and/or pet sitting services, and secondly to provide those same house and/or pet sitting services to meet with your specifications.

Information We Collect About You

You may browse the Mushroom Cottage Site without providing any personal information that may be used to identify you personally. When using our Site to contact us, you can choose to provide only as much information as we need to make initial contact, for instance your first name only instead of your full name, and the town or village in which you live instead of your full postal address, and you can also specify your preferred contact method.

The on-line Enquiry Form or e-mail form is designed only as an initial contact between us and you and requests only brief information about you and your requirements for our Services. If you proceed further, you will need to complete our Pet Information form, if applicable, and/or our Home/Contact Information form, and the data we require from these forms includes your full name and address, e-mail address or contact ‘phone numbers, details about your pets, if applicable, and details about your home and how your home is secured, if applicable. When we confirm a booking, then it is at this stage that you agree to the processing and storage of your personal information and your home and/or pet details in our secure database. Use of Your Information

Mushroom Cottage DO NOT pass on or sell any information about our clients, their pets or their homes to any third party, the only exception being to share, transfer, or disclose your personal information to such officials involved in a criminal investigation, to conform to legal requirements or to comply with legal process, such as in complying with a formal request in a court order, subpoena or judicial proceeding. We also reserve the right to pass on client’s details to the appropriate authorities if we consider that a client is mistreating their pet/s or neglecting their pet’s welfare.

We like to post testimonials on our website; we obtain permission prior to posting to (a) include our client’s name and place of residence, or their initials, and (b) allow other prospective clients to contact our existing clients to enquire about the quality and level of service provided.

Correspondence Sent to You

Mushroom Cottage will not send you any information, including e-mail, except essential communications relating to your queries or bookings.

Updating and Deleting Your Personal Details

If your personal details change, please help us to keep your information up to date by notifying us in writing at the address given HERE.  If at any time you would like your personal information to be removed from our database or believe that Mushroom Cottage has not adhered to these privacy principles, please notify us by e-mail or by letter. We will delete your information and / or promptly detect and remedy any problems.

Security

Mushroom Cottage takes appropriate measures to ensure that the information disclosed is kept secure, accurate, and up to date and kept only for so long as is necessary for the purposes of providing house or pet sitting services to you. All personal information is held on a secure computer in a secure database that is password protected and encrypted. Encryption is the most fail-safe, up-to-date technology for securing and protecting information.  Client’s printed paper copies of their booking forms, pet and/or home/contact information forms and key handling agreement forms will be kept in a secure cabinet for five years then destroyed by shredding.

Updates to this Policy

By visiting our Site or booking a Mushroom Cottage Sitter, you are accepting this Policy as it may be amended from time to time. If you do not agree to the terms of this Policy, please do not use our Site or request our services. Mushroom Cottage reserves the right to update this Policy at any time and will post notice of the changes on our Site under the heading “Changes to Privacy Policy”.
